Privacy notice
What information Buildiary keeps, why, and what you can ask us to do with it. Buildiary is a service of SMH Global Services (“we”).

Who controls the data
When a company or a person subscribes to Buildiary (the “customer”), the records in their workspace belong to them. The customer decides who is added, what is recorded and for how long. We process that data on the customer's behalf to provide the service. For the customer's own account (name, email, phone and payments) we are responsible.
What we keep
- Account details: name, email, phone, country and company name given at sign-up.
- Workspace records: suppliers, orders, deliveries, stock, payments, budgets, change orders, invoices, schedules, inspections and diary entries, with their photos and voice notes, entered by the customer's team.
- People on site: names, trades, phone numbers, photos, ID details where the customer records them, wages, attendance times and the phone's location when attendance is marked.
- Payment records: amounts, references and receipts sent for plan payments.
- Technical data: sign-in times, the browser and the IP address, kept in logs for security.
Why we use it
- To run the workspace and its features for the customer.
- To bill for plans and confirm payments.
- To keep the service secure and to fix problems.
- We do not sell data, and we do not use workspace records for advertising.
AI features
AI features are optional. When they are switched on, the photo, voice note, document or records needed for the task are sent to Google (Gemini) to produce the result. Google's own terms apply to that processing.
Links you share
A client link or a supplier link shows the records meant for that person to anyone who has the link, without signing in. Share links only with the people they are for.
Where data is stored
Workspaces run on Amazon Web Services in the Mumbai (ap-south-1) region. Backups are encrypted and kept in the same region for up to 60 days.
How long we keep it
We keep a workspace while the customer's plan or trial is active and while it is paused for non-payment. After a customer cancels, we delete the workspace 30 days later; backups expire within 60 days after that.
Security
Connections use HTTPS, passwords and PINs are stored as one-way hashes, each workspace's records are kept apart on every request, and access to the servers is limited to our administrators.
Cookies
Buildiary uses only the cookie needed to keep you signed in, and remembers your language in your browser and your profile. This website sets no cookies and uses no tracking.
Your choices
People whose details are in a workspace should first contact the customer who runs it. Customers can ask us at any time for a copy of their data, a correction or deletion.
